1. List the job you need done
Write down the three tasks you do most, such as planning projects, taking notes, or tracking tasks. A tool that does those three things well beats one with a long feature list you never use.
2. Check the price model
- Monthly versus yearly billing, and what changes at renewal.
- Limits on users, storage, or projects in each plan.
- Any setup or add-on fees that appear after sign-up.
3. Test the free plan or trial
Use the trial with a real task. Check how it works on your phone and computer, and whether your files can be exported if you leave.
4. Read the refund and cancellation terms
Find the refund window, how to cancel, and whether data is deleted after cancellation. Save a screenshot of the terms before you pay.
5. Check privacy and support
Look for clear privacy information, how your data is stored, and how quickly support responds.
